I have heard that the position of Heritage fund project manager has been  filled, not seen any official from the club, does any have any idea who has been appointed?

Not saying that this Frankie won't be any good but somebody else put a lot of time, effort and work in that actually made this possible and then got overlooked for the role that wouldn't have existed without their hard work.

Finding the some of the discussion about this a bit out of order. Presumably the panel appointed someone in the role because they thought they’d be the best person in the role. Being great at securing funding does not automatically equate to being a great project manager.

Don’t recall this job vacancy being advertised on Club website might be wrong . Was an announcement in August that £100;k grant received and watch for opportunity..Would have been nice to see a job spec.

Grimsby Town Sports and Education Trust have been awarded almost £100,000 by the National Lottery Heritage Fund to deliver a project that will capture memories and collect memorabilia from Grimsby Town Football Club before showcasing them in a touring exhibition.

#RememberWhenGTFC will seek to record stories of Grimsby Town Football Club, and in particular from those either ageing or suffering with dementia. Key discussion points will be the stadium, in which the Mariners have played since 1899; players past and present; people connected to the Club; and poignant home and away games. The memories and memorabilia that are captured will be digitised as part of a new website.

The Heritage Starter Fund grant allowed the project team to pilot an exhibition of Grimsby Town FC memorabilia at the reminiscence hub in Freshney Place which was run by the Mariners Trust and other volunteers. During the three months the reminiscence hub was open to the public, over 3,000 people came to see the display and share their own memories too. The success of the pilot project led to GTSET, supported by the Mariners Trust, launching a bid for more funding to deliver this exciting project.

Graham Rodger, Community Officer at Grimsby Town Sports and Education Trust, said: “By completing the pilot through the Heritage Starter Fund, we were able to collect data and knowledge to support a larger National Lottery Heritage Fund bid. Without a doubt, completing the pilot project made our application much stronger – we’re looking forward to a much larger scale collection of memories to share and digitalisation of items to preserve and share worldwide through a dedicated website.”

In total, £99,400 has been awarded to Grimsby Town Sports & Education Trust and is part of the £590,000 grant which has been allocated to heritage projects in North East Lincolnshire.

GTSET will soon be looking to recruit a Project Manager to ensure the delivery of this exciting project. Keep an eye on the Club’s channels for more information.

Job Description
Post: Project Manager
Reports to: Chief Executive of Grimsby Town Sports and Education Trust (GT SET)
Staffing Responsibilities: Volunteers, researchers and organisations involved in the project
Contract: Fixed term contract for 19 months
Hours: 16 hours per week, including 2 x 5 hour sessions per week. Hours will increase towards the end of the project
Salary: £12,000 per annum
Job Summary and Purpose
To engage the wider community of North East Lincolnshire in researching, recording and preserving the heritage and history of Grimsby Town Football Club and manage the delivery of the agreed project outcomes.
The Project Manager will be expected to deliver the project according to the project plan and achieve the project aims as stated in the funding application, including sustainability aims.
The Project Manager will be responsible for delivering the approved purposes.
Main Tasks and Responsibilities
Management and Administration
1. To deliver the key activities within the project plan and ensure the outcomes of the project are being achieved, including ensuring that key outputs are of a sustainable quality to last beyond this project.
2. Create policies as required – such as volunteers, collection and loan and environmental policy
2. To work closely and engage in supervision with GT SET CEO and report on project progress monthly.
3. To manage the project volunteers and other organisations involved to ensure the project is delivered according to the project plan.
4. To set up a project team and include volunteers, staff and community members in this team. Act as ‘chair’ of the project team, organising meetings, taking minutes and distributing a necessary.
5. To administer the project by setting up meetings, taking minutes of the meetings, identifying action points, carrying out the action points and reporting back to the project team.
6. To set up effective communication systems to ensure all project team members are kept informed and are able to deliver on their aspects of the project plan and organise monthly project meetings
7. To ensure that all project team members are fully engaged and are meeting their project responsibilities and are working towards the aims in the project proposal
8. To ensure all volunteers are fully engaged and are achieving the aims in the project proposal
Managing Project Finances
1. To set up financial systems to monitor project spend according to the budgets set.
2. To report to the project team on financial spend on monthly basis.
3. To ensure all suppliers are paid on time and within invoicing terms set.
4. To ensure all project spend is relevant and in accordance with the project budget.
5. To ensure all project spend is evidenced and included in the final project evaluation report.
6. To liaise with GT SET CEO and Heritage Lottery fund on potential changes in budget, underspends and contingency.
Engaging Young People, Older People and Disabled People
1. To work with the members of GT SET and other organisations to ensure at least 100 older people, 250 young people and 50 disabled people are engaged and continue to be engaged within the project.
2. To engage older, young and disabled people in the management and delivery of the project.
3. To ensure older, young and disabled people are gaining new heritage skills and experience.
4. To develop volunteering opportunities within the scope of the project.
5. To support older, young and disabled people to work with Focus 7 to utilise digital technology and media skills to ensure learning materials have been produced and can be accessed by a wider audience once the project is complete.
6. To support older, young and disabled people to organise and deliver an exhibition.
7. To ensure all necessary volunteers, project team members and other interested parties are DBS checked and conform to the safeguarding procedures used by GT SET.
8. To ensure all older, young and disabled people are achieving the project aims and are able to demonstrate this at the end of the project.
9. To ensure that any volunteer or paid researcher involved with logging and digitalising memories of those with dementia are dementia friendly trained. Thus making the project a dementia friendly one.
Monitoring and Evaluation of the Project
1. To set up the monitoring and evaluation systems and process to ensure we are able to evidence we have achieved the aims stated in the project proposal. This shall include environmental and sustainability aims of the project.
2. To ensure older, young and disabled people are involved in the development of the monitoring and evaluation systems.
3. To ensure all project team members are involved in the development of the monitoring and evaluation systems.
4. To set baselines of knowledge with the older, young and disabled people and the wider community.
5. To track the learning and progression of older, young and disabled people and the wider community.
6. To use digital media as a tool to develop evidence for the evaluation report and show that the project aims have been achieved.
7. To write an end of project evaluation report together with the project team members, older, young and disabled people engaged in the project which shows how the project aims have been achieved.
Health and Safety
1. To ensure all activities within the project plan are risk assessed and meet health and safety requirements.
2. To ensure all older, young and disabled people involved in the project have a personal development folder which contains information regarding the young people such as contact details for parents, home address, medical information, photograph release form and also any other key information that the project manager will need to be aware of.
3. To keep all personal information confidential and locked away in a secure filing cabinet in accordance with GT SET.
Marketing and Promotion
1. To develop marketing and promotional material that will promote the project to a wider audience within NE Lincolnshire communities.
2. To promote the activities of the older, young and disabled people and also promote their achievements.
3. To promote the project to local people to engage more volunteers and educate more people about the heritage of the Grimsby Town Football Club.
4. To promote the project, the exhibition and other digital outputs as well as set up engagement days to ensure the young people are achieving their project aims and objectives.
5. To promote the National Lottery Heritage Fund at all of the events according to their requirements.
Other Duties
1. To carry out other duties identified by GT SET.
2. To be a point of contact for the project.
